Relocating Your Business Interstate: A Practical Planning Guide

Moving a business interstate is a big decision. It might be driven by growth, access to new markets, lower costs, a better talent pool or simply a lifestyle change for the owners. Whatever the reason, relocating a business involves far more than packing boxes and booking a truck. Done well, it can open exciting new opportunities. Done poorly, it can disrupt operations, frustrate customers and drain cash.

Planning is the key to a smooth transition. Businesses need to think about premises, staff, customers, legal obligations, logistics and timing. For physical moves, choosing reliable movers matters too. A business relocating along the east coast, for example, might compare quotes from removalists from Brisbane to Sydney to find an option that suits its inventory, equipment and timeline.

Start with a clear business case

Before committing to a move, make sure the reasons stack up. Consider the costs of relocating, including moving expenses, new premises, fit-out, staff changes and potential disruption to revenue. Compare these with the expected benefits, such as access to customers, lower rents, better infrastructure or a larger talent pool.

Research the new market carefully. Who are your customers there? Who are your competitors? Are there regulatory differences that might affect how you operate?

A clear business case helps ensure the move supports long-term goals rather than creating unnecessary risk.

Find the right premises

Choosing new premises is one of the biggest decisions in the process. Consider location, accessibility for customers and staff, parking, public transport, size, layout and room for growth.

Inspect properties carefully and understand lease terms, outgoings and any fit-out requirements. Allow time for negotiations, approvals and fit-out work before your planned move date.

If possible, avoid overlapping leases for too long, as paying rent on two properties can strain cash flow. On the other hand, a short overlap can provide valuable breathing room to set up the new site before closing the old one.

Look after your people

Staff are often the most important consideration when relocating. Some employees may be willing to move, while others may not. Communicate early and honestly about the plans, timelines and options.

Consider offering relocation assistance for key staff, such as help with moving costs or temporary accommodation. For employees who won’t relocate, understand your obligations under employment law, including notice periods and potential redundancy entitlements.

You may also need to recruit new staff in the new location. Start the recruitment process early so the business has the people it needs when it opens.

Keep customers and suppliers informed

Customers need to know what’s happening, especially if the move affects how or when they can access your products or services. Communicate the move through email, social media, your website and direct conversations with key clients.

Update your address on your website, Google Business Profile, invoices, business cards and online directories. Inform suppliers, service providers, banks, insurers and government agencies of the change.

If your business serves customers in both states, consider how you’ll continue supporting existing clients after the move.

Plan the logistics and handle the legal side

Moving equipment, stock, furniture and documents interstate requires careful coordination. Make an inventory of everything that needs to move and decide what can be sold, donated or disposed of before relocating.

Choose movers experienced in commercial relocations. Ask about insurance, packing services, storage options and transit times. Container-based moving and storage can provide flexibility if your new premises aren’t ready immediately.

Schedule the move to minimise downtime, perhaps over a weekend or during a quieter trading period. Make sure IT systems, phones and internet are set up and tested at the new site before operations resume.

Relocating interstate can have legal and regulatory implications. Business registrations, licences and permits may need to be updated or obtained in the new state. Payroll tax, workers’ compensation insurance and other state-based obligations may change. Seek advice from your accountant and lawyer to understand what applies to your business and ensure nothing is missed.

Settle in and review

Once the move is complete, allow time for staff and systems to settle. Expect a few teething problems and address them promptly. Review the relocation process to identify what worked well and what could be improved.

Relocating a business interstate is a significant undertaking, but with careful planning, clear communication and the right partners, it can set your business up for a successful new chapter.
